Remote Access to Systems + Software

There are several different remote access options available for staff to work from home. Staff can access PHC systems and applications from a personal computer or a health organization-issued laptop. The guide below outlines how to access each system.

Each drop down is divided up into the following sections: "From a personal computer", "From a health organization-issued laptop", and "From a smartphone" (only applicable to the first two dropdowns). 

PHC Email & Calendars

From a personal computer 

Access Outlook Webmail at: https://webmail.healthbc.org 

This will allow you to: 

  • Access your email box and calendar, including shared mailboxes and delegates.  
  • Access to email archives is not available. 

What you will need:  

  • An active internet connection, either with Wi-Fi or via network cable
  • Microsoft Authenticator on your smartphone. (If not already registered, click here for instructions.) 

If you would like to use full Microsoft Outlook or need access to network files, please refer to the Internal Websites, Network Drives / Files & Microsoft Office below. 

From a health organization-issued laptop 

Use Outlook directly from the laptop. 

This will allow you to: 

  • Access your email box and calendar, including shared mailboxes and delegates.  
  • Access to email archives is not available. 

What you will need:  

  • An active internet connection, either with Wi-Fi or via network cable
  • To have recently logged onto the laptop while on the health organization network. This allows the laptop to remember your network login and password for use while outside the network 

From a smartphone 

Connect a smartphone email app (e.g. Mail, Gmail, Samsung Email, Boxer, etc) with PHC email. 

This will allow you to: 

  • Access your email box and calendar.  
  • Access to shared mailboxes, delegates, and archives are not available. 

What you will need:  

  • An iOS or Android smartphone or tablet, with an email app.  
  • Agree to apply security settings on your phone: passcode of at least 4 characters, automatic screen lock of 10 minutes or less.

Online Meetings - Skype for Business

From a personal computer 

Join online meetings using the Skype Meetings App

  • Click here for information on how to sign in to and use the Skype Meetings App.

This will allow you to: 

  • Use your computer to participate in Skype for Business audio and video meetings
  • Sign in using your network login (no need to join as a guest)
  • View presentations and share your screen

What you will need:  

  • An active internet connection, either with Wi-Fi or via network cable
  • A computer equipped with a speaker, microphone, and webcam (for video)
  • Skype Meetings App installed on your computer (free download) 

From a health organization-issued laptop 

Use Skype for Business directly from the laptop 

This will allow you to: 

  • Access Skype for Business for instant messaging and join online meetings with audio and video, using the laptop’s built in speaker, microphone, and webcam. 

What you will need:  

  • An active internet connection, either with Wi-Fi or via network cable
  • To have recently logged on to the laptop while on the network. This allows the laptop to remember your network login and password, for use while outside the network.
Instant Messaging - Skype for Business

From a personal computer 

Use Microsoft Office Desktop 2016 from Citrix Remote Access: https://remoteapps.healthbc.org

Once logged in to Office Desktop 2016, double click the Skype for Business 2016 icon to sign in to Skype for Business. 

Note: Do not use Skype for Business within Office Desktop for online meetings as it does not provide audio/video functionality. See the Online Meetings – Skype for Business section for the alternative.

This will allow you to: 

  • Access Skype for Business for instant messaging. 
    • Note: As you are already logged into Office Desktop, you will also have access to Microsoft Office applications (Outlook, Word, Excel, etc), network drives, and internal network sites such as PHC Connect, etc. 

What you will need:  

  • An active internet connection, either with Wi-Fi or via network cable
  • Microsoft Authenticator registered and installed on your smartphone. If not already registered, click here for instructions
  • Citrix Workspace App installed on your computer – it’s a free download
  • Provisioned access to Citrix Remote Access Environment (remoteapps.healthbc.org) and the Microsoft Office Desktop 2016 icon in your Citrix Storefront.  

How to check if you already have access, and request access if you don’t: 

  • Follow the login instructions listed here to try to access Microsoft Office Desktop 2016. 
  • If you cannot login or do not have Microsoft Office Desktop 2016 in your Citrix Storefront, you will need to request access. From within the health organization network:
    • Go to the IMITS Self-Service Portal.
    • Search for the "Remote Access Request" form.
    • On the form, for Remote Access Required, select Remote Network Access.
    • Under Application Access, type in Microsoft Office Desktop 2016.

From a health organization-issued laptop 

Use Skype for Business directly from the laptop 

This will allow you to: 

  • Access Skype for Business for instant messaging and join online meetings with audio and video, using the built in microphone and webcam. 

What you will need:  

  • An active internet connection, either with Wi-Fi or via network cable
  • To  have recently logged on to the laptop while on the network. This allows the laptop to remember your network login and password, for use while outside the network.
Internal Websites, Network Drives / Files & Microsoft Office 

From a personal computer 

Use Microsoft Office Desktop 2016 from Citrix Remote Access: https://remoteapps.healthbc.org 

Once logged in to Office Desktop 2016, Google Chrome is available for internal websites. The This PC icon is available to access network drives.  

This will allow you to: 

  • Access internal network sites such as PHC Connect, PeopleSoft, Sharepoint, PSLS, etc 
  • Access Microsoft Office applications (Outlook, Word, Excel, etc) and network drives 
  • Also access Skype for Business for instant messaging and join online meetings (with no audio/video) 

What you will need:  

  • An active internet connection, either Wi-Fi or via network cable
  • Registered for Microsoft Authenticator on your smartphone. If not already registered, click here for instructions
  • Citrix Workspace App installed on your computer – it’s a free download
  • Provisioned access to Citrix Remote Access Environment (remoteapps.healthbc.org) and the Microsoft Office Desktop 2016 icon in your Citrix Storefront.  

How to check if you already have access (and request access if you don’t): 

  • Follow the login instructions listed here to try to access Microsoft Office Desktop 2016. 
  • If you cannot login or do not have the Microsoft Office Desktop 2016 in your Citrix Storefront, request access through the IMITS Self-Service Portal (from within the HO network). 
  • Search for the Remote Access Request form 
  • On the form, for Remote Access Required or click HERE.
  • Complete the required fields and scroll down to the bottom of the form to Application Access and on the first line, scroll down and select PHSA Microsoft Office.

From a health organization-issued laptop 

Launch Citrix Gateway VPN from the laptop and sign in. 

This will allow you to: 

  • Access internal network sites such as PHC Connect, PeopleSoft, Sharepoint, PSLS, etc.  
  • Access your network drives and files. 
  • Also access any clinical applications. 

What you will need:  

  • An active internet connection, either Wi-Fi or via network cable
  • Recently logged onto the laptop while on the health organization network. This allows the laptop to remember your network login and password and enable you to log onto the laptop while outside the health organization network. 
  • Citrix Gateway VPN installed on the laptop – look for the desktop icon. If not installed, have the laptop connected to the HO network and follow instructions here to install it. 
  • Registered for Microsoft Authenticator on your smartphone. If not already registered, click here for instructions
Citrix Clinical Apps

From a personal computer 

Access your Citrix Storefront through Citrix Remote Access: https://remoteapps.healthbc.org. 

This will allow you to: 

  • Access clinical applications through your Citrix Storefront. Common examples: CST Cerner, CareConnect, PARIS, Computrition. 
  • Access to SCM is not available through this method – see All Other Systems below. 

What you will need:  

  • An active internet connection, either Wi-Fi or via network cable
  • Registered for Microsoft Authenticator on your smartphone. If not already registered, click here for instructions
  • Citrix Workspace App installed on your computer – it’s a free download
  • Provisioned access to Citrix Remote Access Environment (remoteapps.healthbc.org).  

How to check if you already have access (and request access if you don’t): 

  • Follow the login instructions listed here to try to access your Citrix Storefront and clinical application 
  • If you cannot login, request access through the IMITS Self-Service Portal (from within the HO network). 
  • Search for the Remote Access Request form. 
  • On the form, for Remote Access Required, select Remote Network Access. 

From a health organization issued laptop 

Launch Citrix Gateway VPN from the laptop and sign in. 

This will allow you to: 

  • Access any clinical applications. 
  • Also access internal network sites such as PHC Connect, PeopleSoft, Sharepoint, PSLS, etc.  
  • Also access network drives and files for use while outside health organization network. 

Additional benefits:

  • Provides the ability to reset password
  • Installation of critical security patches, updates and virus definition files
  • Extending software license agreements

What you will need:  

  • An active internet connection, either Wi-Fi or via network cable
  • To have recently logged on to the laptop while on the health organization network. This allows the laptop to remember your network login & password and enables you to log onto the laptio while outside the health organization network.  
  • Citrix Gateway VPN installed on the laptop – look for the desktop icon. If not installed, have the laptop connected to the HO network and follow instructions here to install it. 
  • Registered for Microsoft Authenticator on your smartphone. If not already registered, click here for instructions
All Other Systems & Applications (e.g. Kronos ESP, SCM, Microsoft Visio, etc)

From a personal computer 

Access Remote Desktop through Citrix Remote Access: https://remoteapps.healthbc.org 

This will allow you to: 

Access everything on a specific health organization-issued computer, as if you are physically sitting at the computer by remotely controlling it. 

Access any systems or applications not already covered (e.g. Kronos ESP, SCM, Tableau, SQL Server, etc). 

What you will need:  

  • An active internet connection, either Wi-Fi or via network cable
  • Registered for Microsoft Authenticator on your smartphone. If not already registered, click here for instructions
  • Citrix Workspace App installed on your computer – it’s a free download
  • Provisioned access to Citrix Remote Access Environment (remoteapps.healthbc.org).  
  • Your health organization computer on site, turned on, and not in use by someone else.
  • Remote Desktop – Citrix icon in your Citrix Storefront*. (Storefront is what you will see after uou log on through remoteapps.)
  • Provisioned Remote Desktop (RDP) access to a specific HO computer, based on your device name (e.g. - PC099999 or LD099999). 

How to check if you already have access (and request access if you don’t): 

  • Follow the login instructions listed here to try to access your Citrix Storefront. 
  • Look for the Remote Access – Citrix icon in your Citrix Storefront.
  • If you cannot login or do not have the Remote Access – Citrix icon, request access through the IMITS Self-Service Portal (from within the health organization network). 
  • Search for the Remote Access Request form or click HERE.
  • Complete the required fields and scroll down to the bottom of the form to Application Access and on the first line, scroll down and select PHSA Microsoft Office
  • On the form, for Remote Access Required, select Remote Network Access.
  • Click on the Remote Desktop – Citrix icon, you will be prompted to enter a device name. Enter the PC or laptop name (e.g. - PC012345 or LD099999). 
  • If you receive a message that you do not have access, request Remote Desktop access through the IMITS Self-Service Portal (from within the HO network). 
    • Search for the Remote Desktop Protocol (RDP) Access form.
    • When asked for User workstation Host Name, enter the PC or laptop name of your health organization computer. 

From a health organization-issued laptop 

Launch Citrix Gateway VPN from the laptop and sign in. 

This will allow you to: 

  • Access all applications installed on the laptop.
  • Also access internal network sites such as PHC Connect, PeopleSoft, Sharepoint, PSLS, etc.  
  • Also access network drives and files.

What you will need:  

  • An active internet connection, either Wi-Fi or via network cable
  • To have recently logged on to the laptop while on the health organization network. This allows the laptop to remember your network login & password while outside the health organization network. 
  • Citrix Gateway VPN installed on the laptop – look for the desktop icon. If not installed, have the laptop connected to the HO network and follow instructions here to install it. 
  • Registered for Microsoft Authenticator on your smartphone. If not already registered, click here for instructions
